  1. Send complete return-ready kits—including device return instructions—to end users.

Some end users delay returning their device due to anticipated obstacles, like not having access to a printer to print a return shipping label or lack of transportation to and from certain stores to gather the shipping materials required to initiate the return process. Providing end users with the tools they need to successfully return their IT assets reduces the burden placed on end users and simplifies the return process.

For example, when a new device gets shipped to an end user due to an upgrade, include instructions and the materials required to initiate the return of their retiring device in the same package. Doing so saves costs on shipping and expedites the return process, as end users will know the next steps and have everything they need to return their retiring device.

  1. Offer employee purchase options.

Many organizations offer employee purchase programs as a benefit to their workforces. Employees will often purchase their retiring devices at a discounted price for personal use. 

Offering end users the option to purchase their devices instead of returning them is a great way to increase your IT asset return rate because both parties win. You can ensure data security by remote wiping the device, and the end user no longer has to ship the device back to you.

  1. Communicate with end users in a way they prefer, which can be via email or automated SMS notification.

Some end users are more responsive to an automated SMS notification than an email, or vice versa. Reaching out to end users using their preferred method of communication increases the likelihood of end user compliance with device return requests.

  1. Integrate IT asset recovery and return processes with existing initiatives to maintain a smooth channel of communication with end users.

Establishing a new line of communication can be difficult. If your organization already has a unified endpoint management (UEM) platform, such as VMware’s WorkspaceONE, on your corporate-owned devices, you should align your asset recovery program with existing workflows. For example, when it’s time for an employee to return their device, they can receive notifications regarding the return process in the same manner they receive UEM notifications.

  1. Give end users options and allow them to select a preferred return method to return their corporate-owned IT asset.

Once communication is established, giving end users options shows them you—as an employer—value their opinions and preferences.
